Collection Statement

IAP2 Australasia Limited trading as Engagement Institute and its related bodies corporate (we, us, or our) may collect, use, and disclose various personal information about you, which will differ depending on whether you are a member (or applying for membership), an attendee at an event or training, supplier, employee, job applicant, or referee but may include your name, contact information, qualifications and areas of interest, current and past employment history, professional memberships, references, position, professional opinion of a job applicant, and financial information.
Where possible, we collect your personal information directly from you via application, registration, enrolment and renewal forms, by email, telephone, correspondence, event registrations and surveys, and our website, however where collection directly from you is not reasonable or practical, we may collect personal information about you through third parties, such as referees and industry networks and organisations.
Generally speaking, we collect and use your personal information for the purposes of providing goods and services or information to you, conducting surveys, and facilitating our internal business operations (including assessing employment applications). If you choose not to provide us with your personal information, or it’s incomplete or inaccurate, we may not be able to provide you with the goods and services or information you are seeking, or assess your application. However, you may interact with us anonymously or pseudonymously when accessing our website, making general telephone queries, and responding to any surveys.
We may disclose your personal information to third parties who assist us in operating our business, our affiliated entities overseas, or as otherwise required or authorised by law. These third parties are too numerous to list, and they change from time to time. They may be located overseas in countries such as USA, Canada, Indonesia, South Africa, Italy, and Latin America. You consent to this overseas disclosure and agree that by providing that consent, APP 8.1 under the Privacy Act 1988 (Cth) no longer applies, and we are not required to take reasonable steps to ensure that the overseas recipient does not breach the APPs in relation to that information.

Privacy Collection Statement
The purpose of this statement is to provide information to you about how the International Association for Public Participation Australasia Limited trading as the Engagement Institute (we, us, our or Engagement Institute) may collect, hold, use and disclose your personal information in connection with your use of the EngageMark organisational maturity certification program, which includes the tool developed and owned by Engagement Institute, EngageMark Certification and EngageMark Credential (EngageMark Program).

Why we collect your personal information
We may collect and use personal information (including sensitive information) about you or other individuals associated with your organisation where that information is reasonably necessary in order to facilitate the EngageMark Program. For example, we may collect:
- your name, email address, phone number, gender, job role/position; and
- other details relevant to the assessment of your organisation’s engagement maturity (for example, we may collect information about whether individuals associated with your organisation identify as Aboriginal or Torres Strait Islander in order to assess your organisation’s maturity against the ‘First Nations’ element of the EngageMark Program).

We may collect this information from you or third parties, such as your employer, a licensed assessor carrying out the certification assessment on our behalf or publicly available sources.
We collect your personal information for the purpose of:
- establishing and managing our relationship with you and your organisation in connection with the EngageMark Program (including to create your profile, establish your credentials to access and engage with the EngageMark Program, communicate with you in relation to the EngageMark Program, review the evidence provided by your organisation to assess level of engagement maturity, generate reports and action plans for your organisation, and award the Engagemark Certification); and
- providing you with information about us and the goods and services that we, or our related entities or organisations that we have affiliations with, offer that may be of interest to you (unless you have opted out).
We may also collect your personal information to carry out our other functions and activities. Further information about these purposes is outlined in our Privacy Policy.
You should only provide us with someone else’s personal information if you have their authority or consent. You should also take reasonable steps to inform them of the matters set out in this statement and our Privacy Policy.
You may choose what information you provide to us
It is up to you what personal information you provide to us. However, if the personal information you provide us is incomplete or inaccurate, it may affect our ability to certify your organisation’s maturity against the EngageMark Program criteria or otherwise facilitate your organisation’s participation in the EngageMark Program. This may negatively affect your organisation’s certification outcome and we will report this omission for transparency.
How we disclose your personal information
We may disclose your personal information to:
- third parties who assist us in facilitating the EngageMark Program (such as a licensed assessor engaged by us to review your information and complete the organisational certification process, IT and technology service providers, professional advisors and our affiliated organisations and their service providers who are involved in the establishment, operation or support of the EngageMark Program);
- your organisation that is seeking certification (including through our self assessment or independent assessment reports); and
- third parties acting on your behalf or to whom you agree we may disclose your personal information, or as otherwise required or authorised by law from time to time.
We may aggregate and anonymise any of the information we collect and use and disclose it for the purpose the purpose of analytics, research and deriving insights, trends and benchmarks in relation to organisational engagement maturity, improving the EngageMark framework and our services (including developing new tools, programs, products and services), creating and distributing reports relating to organisational engagement maturity, advocating for governmental support of and promoting the EngageMark framework and our services. Such information will not identify you individually.
We may disclose your personal information to overseas recipients, including our international affiliates and service providers located in countries such as the USA, Canada, Indonesia, South Africa and Latin America. Where we do so, we will take reasonable steps to ensure that the overseas recipient does not breach the APPs in relation to your personal information, unless an exception applies under the Privacy Act.

Definitions
EngageMark Credential means the logo and related marks owned by Engagement Institute and licensed to you for use during the term of your EngageMark Certification, subject to you and us executing a Credential Licence Agreement.
EngageMark Certification is the overall certification rating of gold, silver, bronze or did not meet, obtained at the completion of the certification process.
